Add an email reply link (mailto:) in a message

You can include an email reply link in the body of your emails. When clicked, the link opens a blank message already addressed to a person, business or any destination of your choice. For example, a link such as mailto:[email protected] is already directed to your company’s customer service representative.

As you can see, you can format the link text (the words people see and click on) to say whatever you want.

Add an email reply link

  1. In the message, select the text or image you want to display as a link.

  2. On the Insert tab , click Link or Hyperlink .

  3. Under Link To , click Email Address .

  4. Type the email address you want in the Email address box or select an email address from the Recently used email addresses list .

  5. If you want to edit the link text, in the Text to display box, type the text.

  6. To customize the tooltip that appears when you place the pointer over the link, click Tooltip , then type the text you want. If you don’t specify a subscript, Outlook uses “mailto” followed by the email address and subject line as the subscript.

  7. Click OK .

Tip:  You can also create a simple email reply link by typing the address in the message and then pressing ENTER or the SPACEBAR, unless you have disabled hyperlink auto-formatting .

If you want to automatically include an email reply link in all your outgoing messages, add it to an Outlook signature. The signature can consist only of the link or any other additional information of your choice. For more information, see Create and add a signature to messages.

Creating Email Links in WordPress

Sometimes you will need to set up a text link on a post or page which when clicked sets up a blank email to a chosen email address. To do that, follow the following steps.

Please note: We don’t recommend creating email links because spammers often use scripts to harvest web sites for email addresses. If you create email links, you may see an increase in spam. We recommend using a contact form instead.

  1. Open the appropriate page or post and select (highlight) the text to be linked. This might be the actual email address typed out in full or could be more general, such as ‘Click here to email us’.Insert/edit link (WordPress) Insert/edit link (WordPress)
  2. Enter mailto: followed immediately by the email address. There should be no spaces whatsoever and as with all email addresses, lower case lettering is recommended. Add an email link with WordPress Add an email link with WordPress
  3. Click the Apply button (with the arrow)
  4. Publish or Update your post or page

Tips and Extras

  • If you select an email address and click the Insert/Edit button, WordPress will automatically add ‘mailto:’ Add Email Link in WordPress Add Email Link in WordPress
  • Follow the email link URL immediately with: ?subject=Website%20Enquiry and the new email will be given a subject as specified (use %20 where you would normally use a space).
  • HTML email links do not permit email links which send to multiple recipients (email addresses). However, most contact forms will allow multiple recipients.
  • Images can be set to link to an email address in the same way. Click the image once and then click the Edit Image button. Change ‘Link to’ to Custom URL and enter the email link (as described above). Edit images in WordPress Edit images in WordPress

Creating a Link to an Email Address in WordPress

Adding a link to an email address is very much like adding other links in WordPress. Take a look at our guide on how to add a link in WordPress.

When adding a link to any other web page, you usually add http:// or https:// followed by rest of the url. For example, http://www.example.com

Similarly when adding a link to an email address, you need to replace the http part with mailto: prefix followed by the email address you want to link to. Here is a example:

mailto:[email protected]

Here is how you will add it in a WordPress post.

Select the text you want to add the link to and then press CTRL+K (Command+K on Mac) or click on the ‘Insert Link’ button in the post editor.

This will bring up the insert link popup where you need to add your mailto link. Click on the apply button to close the insert link popup.

As you can see in the animation above, we’ve added a link to an email address. WordPress will automatically detect that the text you are trying to link to is an email address and add the mailto: prefix to the email address.

You can add an email link to any text. If the text is not a valid email address, you will need to add your full link. Like that:

How to Manually Add an Email Link in WordPress Using HTML

If you want to add an email link in a text widget or a WordPress theme file, you will need to add the link by writing the HTML code.

Here’s how to add an email link in HTML:

Why should you avoid adding email links in WordPress posts and pages?

The downside of adding an email link is that the email address becomes publicly visible. This allows email-sniffing bots to collect them, meaning you’ll receive tons of spam on those email addresses.

Another downside is that users are less likely to switch apps (from browser to email client) to send email. Most users may not want to use their primary email address to send emails.

You can easily avoid this by adding a contact form instead of adding an email link.
